From manual email follow-ups to a structured marketing flow.

A cleaning company wanted a more systematic way to follow up with leads and stay relevant to existing customers. Instead of relying on individual emails and manual follow-up, the work focused on structuring the audience, creating reusable communication and building automated email flows around different stages of the customer journey.

Key outcomes
01More relevant communicationContacts could be organised into relevant groups, allowing communication to reflect where each contact stood in relation to the business instead of treating everyone the same.
02Follow-up built into the processReusable campaigns and automated flows reduced the dependence on remembering and sending every follow-up manually.
03A measurable marketing systemCampaign activity could be monitored and used to understand what communication worked and where future campaigns should be adjusted.

The challenge

Email can be a valuable channel for a service business, but it creates limited value if communication depends on someone manually remembering who should receive which message and when.

For the cleaning company, the challenge was to create a more structured way to communicate with different types of contacts. A new lead, an existing customer and a previous customer do not necessarily need the same message or the same follow-up.

Without a system behind the communication, follow-up, ongoing customer contact and re-engagement could easily become inconsistent or depend on someone remembering to handle them manually.

The challenge was therefore not simply to send more emails. It was to create a marketing process in which the right communication could be delivered more consistently at relevant points in the customer journey.

The approach

The work began by structuring the audience around the customer journey. Contacts could be separated according to relevant characteristics such as whether they were a new lead, an existing customer or a previous contact, allowing communication to be more targeted.

Reusable email communication and automated workflows were then structured around relevant customer actions and stages. Instead of every follow-up depending on manual execution, selected communication could be triggered as part of the marketing process.

The approach also considered how email could support more than the initial sale. Follow-up communication could be used to nurture leads that were not ready to buy immediately, maintain the relationship with existing customers and reconnect with relevant previous contacts.

Finally, campaign performance could be monitored through measures such as opens, clicks and downstream customer actions. The objective was to use these signals to refine subject lines, messaging, segmentation and future campaigns rather than treating the first version as final.

The impact

The cleaning company gained a more structured foundation for email marketing. Communication no longer had to be treated only as individual campaigns or one-off manual follow-ups, but could be organised around the broader customer journey.

The setup made it possible to distinguish between different audiences and create communication that was more relevant to where each contact stood in relation to the business.

Automation also meant that selected follow-ups could become part of the process rather than relying entirely on manual execution, while performance data provided a basis for improving future communication.

The case reflects SR Konsul's approach to growth systems: automation is not about sending more marketing. It is about making the right communication more relevant, consistent and measurable.
